Embedding Other Files

    The University recommends using Box Cloud to deliver video and other materials online. University students and employees have free secure Box access.
    Note: These instructions cover how to embed a video. Follow the same procedure to embed documents, image, audio, and other files including pdf's. You must select the appropriate insert button when pasting the embed code into Learning Suite.

    Step One:
    Hover over the video you want to embed and click on share. Enable the link and select people with the link from the drop-down menu Choose can view only to prevent students from downloading the video.
    Note: The link is publicly accessible to anyone with the link. However, the shared files will be embedded into Learning Suite which require a secure login.

    Step Two:
    Close the share dialog box and click on the More Options button. Select More Actions and choose Embed Widget from the menu.

    Step Three:
    Click copy to copy the code for the embedded video. To use something other than the default size, first select the desired size, then click copy.

    Step Four:
    Go to Learning Suite and create a new page or exam question or click Edit to embed the video into an existing page or question. Click insert video. To insert images, audio, or other files, click the source button in the editor and paste the embed code in the associated window.

    Step Five:
    Select Embed and paste the code into the text box. Click Insert Video. You will need to publish the content page or exam in order for students to access the embedded file.
    Note: Students may see a login prompt instead of the video. Students should use their net ID followed by @byu.edu (netID@byu.edu) and their university password. They may need to scroll down in the display window to do this.

  • A URL that points to a specific BYU Learning Suite page can be embedded in any text entry box in Learning Suite. For example, a link to a Learning Suite Content page can be embedded in an assignment description. Students will be taken directly to the content page when they view the assignment and click on the link, as long as they are enrolled in the course the URL is pointing to.

    There are three things to be aware of when embedding Learning Suite URLs in your course:

    • Access to Embedded Learning Suite URLs
    • Access to Embedded Learning Suite URLs that Point to Unpublished Materials
    • Copying Forward Courses with Embedded Learning Suite URLs

    Access to Embedded Learning Suite URLs
    If an instructor embeds a URL into a Learning Suite course that points to a different Learning Suite course, students will only be able to access the embedded link if they are enrolled in both courses. For example, a student will not be able to access an embedded link if they enter their BIO 100 course and click on an embedded link that points to BIO 200, which they are not enrolled in.

    Access to Embedded Learning Suite URLs that Point to Unpublished Materials
    If an instructor embeds a URL into a Learning Suite course that points to an unpublished Learning Suite content page or exam, students will not be able to access the embedded link until the course material has been published.

    Copying Forward Courses with Embedded Learning Suite URLs
    An embedded link in Learning Suite will automatically update when a course is copied forward, as long as the URL points to the course being copied forward. This means that the URL will always point to the current semester, without needing to change it each semester. For example, the link will automatically update if an instructor teaching BIO 100 embeds a link in an assignment that points to a content page in BIO 100. On the other hand, the link will not automatically update when the course is copied forward if an instructor teaching BIO 100 embeds a link in an assignment that points to a BIO 200 content page.
